ArchiDoc supports the process of loss adjustment of Compensa TU S.A. Vienna Insurance Group

ArchiDoc has commenced performance of a new contract for Compensa Towarzystwo Ubezpieczeń S.A., being a member of Vienna Insurance Group. Under the contract with the insurance sector company, ArchiDoc is responsible for handling and circulation of documents connected with loss adjustment.

The insurance sector – due to the scope and scale of activity of companies operating on this market – is one of the most prospective areas of activity of Outsourcing Experts Group. Income generated by ArchiDoc within cooperation with insurance industry entities constituted 10% of income of the Company and almost 6.6% of consolidated income of the whole Outsourcing Experts Group in 2011.

Loss adjustment is one of the most sensitive areas of activity of the companies from insurance sector. It is quality and time of compensation that is the most important for the clients using the services of the insurer and this is why Compensa uses modern solutions allowing for improvement of process effectiveness. Using support of ArchiDoc already at the beginning of process initiation not only increases efficiency of loss adjustment specialists but also improves circulation of documents among them. Moreover, all pieces of information on a given event are recorded in the form of a virtual loss folder available from the level of one application, which significantly accelerates the process of their handling. Electronic file archiving not only increases the standards of insurer’s documentation management but also improves customer service quality and increases data security. Such business model allows also for optimization of costs connected with maintenance of employees, infrastructure and office space.

Cooperation realized by ArchiDoc to the benefit of Compensa comprises activities connected with realization of the case, from the moment of its reporting up to its closing. The agreement assumes complex management of insurer’s loss documents, including:

  • collection and transport to Operating Centre of ArchiDoc
  • loss registration in the IT system
  • scanning
  • remote provision of electronic images
  • archiving of originals and destruction.

All documents belonging to the insurer reach the operating department of ArchiDoc in Chorzów, where they are properly prepared, sorted according to the processing path, metricized and digitized. Innovativeness of the contract consists in the fact that this is a service initiating the process of handling the cases which are received from Compensa’s clients with the use of various data carriers, such as: traditional mails, CDs and DVDs, faxes and e-mails. So far, no company has decided to commission provision of services to the outsources in such a broad scope.

The process of handling of documents connected with loss adjustment of Compensa is conducted on the basis of the author’s office system INDO which was created and developed by ArchiDoc on the basis of its long-term experience in handling high-volume processes.
