ArchiDoc expands its contract with Millennium Bank

ArchiDoc SA extended the scope of the contract with Millennium Bank with new services. At present, apart from the mailing room service the agreement covers sorting and distribution of correspondence inside the bank and management of marketing materials.

ArchiDoc SA extended the scope of the contract with Millennium Bank with new services. At present, apart from the mailing room service the agreement covers sorting and distribution of correspondence inside the bank and management of marketing materials.

ArchiDoc and Millennium Bank have been cooperating with each other since December 2009. So far the agreement has covered handling incoming and outgoing correspondence in the Central Mailing Room in Gdańsk and Warsaw, including the following tasks: accepting and handing out correspondence from Poczta Polska and external couriers, collection and shipment of outgoing correspondence and handling oversized shipments. All mentioned processes have been performed based on INDO-SNOK, a copyright mailing room system.

As cooperation continued, Millennium Bank gradually assigned ArchiDoc with other processes. Within six months the mailing room service was expanded with the following services:

  • distribution of internal correspondence within the bank’s central mailing room and the sorting room located in ArchiDoc’s Operations Centre in Młochów;
  • storage and shipment of marketing materials;
  • collection of correspondence from Poczta Polska;
  • Data Entry – entering data on returns and acknowledgements of receipt into the bank’s system;
  • take-over of full courier service.

The expansion of the agreement with the above-mentioned services required the introduction of an additional module to the already-existing INDO application. At present the copyright INDO-SNOK system does not only automatically send an e-mail with information about correspondence but also allows to regularly monitor the flow of the bank’s internal correspondence.

The contract between ArchiDoc and Millennium Bank is a great example of increasing the value of the agreement by means of selling additional services. Cooperation based on the ‘step-by-step’ formula enables each enterprise to gradually expand the scope of the agreement as its needs change. The company may choose and combine any elements of each service offered, thus creating an optimal outsourcing solution. Apart from that, all activities with regard to flow of documents are registered by means of one IT platform integrated with the applications used by the ordering party.
