Archidoc providing services for the mailing room of Millennium Bank
ArchiDoc S.A. has started cooperation with Millennium Bank. Within the framework of the agreement, ArchiDoc comprehensively handles inbound and outbound correspondence in the Bank's Central Mailing Room. The service is provided in the two main locations of the headquarters of Millennium Bank: in Warsaw and Gdańsk.
ArchiDoc S.A. has started cooperation with Millennium Bank. Within the framework of the agreement, ArchiDoc comprehensively handles inbound and outbound correspondence in the Bank’s Central Mailing Room. The service is provided in the two main locations of the headquarters of Millennium Bank: in Warsaw and Gdańsk. The agreement has been concluded for the period of 36 months.
The agreement authorises ArchiDoc to provide comprehensive mailing room service including processing of the client’s correspondence and the bank’s business correspondence. All processes are implemented on the basis of INDO-SNOK mailing room system in which an additional paper document flow supervision module was built. The solution uses (inter alia) HandHeld technology. It is a portable computer terminal equipped with scanners and a dedicated software communicating with the application’s server with the use of Wi-Fi. In the Millennium project these devices are used for delivery of mail to the Management Board and the Legal Department. Every hour INDO-SNOK application automatically sends an e-mail to authorised persons about waiting correspondence. Thanks to this solution the bank’s employees are notified of collection of a new mail on a regular basis.
"Entrusting an external company with the service of the mailing room allowed to improve the flow of information in our company and facilitated control over the process. The introduction of full registration enabled us to gain reliable data with regard to the volume of all correspondence and thanks to electronic confirmation of receipt we do not have to store paper acknowledgements", said Ivo Novo, the Director of the Administration and Infrastructure Department in Millennium Bank.
For the purpose of project implementation ArchiDoc employed experienced team that had been responsible so far for handling the mailing room of Bank Millennium. The commencement of the service provision was preceded with a two month’s pilot period. As part of the mailing room service ArchiDoc carries out the following activities: collection and shipment of outbound correspondence, monitoring of internal document flow and handling of over-sized shipments.
