ArchiDoc, a member of the OEX Group, has introduced a solution automating the circulation of financial documents shared within one of the world’s largest manufacturers of elevators, escalators and moving walkways. Cooperation with OTIS Sp. z o.o. includes digitization of documents as well.

ArchiDoc has implemented, as part of the project, the workflow system supporting circulation of the customer’s financial documents. The solution, based on WEBCON technology, has been integrated with the ERP SYSTEM in place at OTIS. The manner in which the service has been configured makes it possible to automatically book documents, therefore limiting the involvement of process participants to accepting the data only. Digitization of documents is another of the services rendered by ArchiDoc for the benefit of this particular customer.

Implementation of solutions that optimize the operation of our organization is one our priorities. The electronic document circulation system has enabled us to measurably facilitate accounting processes that may be monitored in a more precise manner as well – says Magdalena Cynkar, Chief Accountant, OTIS.

Implementation of the workflow system clearly defines the circulation paths of specific document types and makes it possible to closely control each stage of their processing. Quicker access to data that is simultaneously available to a number of users facilitates the taking of important business decisions.

Our solutions support customers in the digitization processes they implement. Replacement of paper documents with their digital counterparts, as well as automation of the entire document circulation process is one of the important elements of boosting the efficiency of the entire organization. Enhancement of business processes translates directly into the quality of end-customer service and fosters better relations with all other partners – said Konrad Rochalski, COE ArchiDoc, OEX Group.

The launch of the service was preceded by a pre-implementation analysis that has enabled the system’s configuration to be adjusted to the specific requirements of OTIS. Currently, the system is used by approximately 130 users within the customer’s organization.
